Who handles your data

solarreport.co.uk (Solar Report) is owned and run by Kind Services, a company based in the United States. Kind Services is the controller of the personal data described on this page.

We apply UK data protection law, the UK GDPR and the Data Protection Act 2018, to the personal data of people in the UK who use this site.

Quote requests

You can ask for solar quotes through the quote form, or when you open your full results in the calculator. We look for MCS-certified installers for your home. When we match you with one, we share your request with that installer so that they can contact you and quote, and we email you to tell you. We don't work with any installers yet, so until we match you, your request stays in our own system.

The data we collect

When you use the calculator, we process the electricity use you enter, the address you search for, the position of your roof and your answers about the roof and the system, to work out the estimate. We save your answers, the address and coordinates of your roof and the results on our servers, so that you can open your results page. The link to that page works for 7 days.

The calculator needs your full address (street, house number and postcode) to analyse your roof and give an estimate. You don't have to use the calculator, but it can't give an estimate without an address. To open your full results, the calculator asks for your first name, surname, email address and phone number, any extra information you want to add, and for you to tick a box asking us to match you with an installer for a quote. That makes it a quote request, handled as described below, and your saved calculation (answers, address, roof and results) becomes part of it.

When you ask for quotes on the quote form, we collect what you enter:

• when you would like the work done, a description of your project and your yearly electricity use;
• the address of the property: street, house number or name, postcode and town;
• your name, email address and phone number.

For every quote request, from the form or the calculator, we also record the date and time you sent it with its box ticked, which version of the wording and of this notice applied, and which of our pages or buttons you used.

Campaign labels. If you arrive through a link with a campaign tag in its web address (for example, a tag naming the site or campaign that linked to us), we record that label with your calculation. If you accepted our cookies and used a quote button on one of our pages, we record which page or button it was with your quote request.

Technical data. Our hosting provider processes your IP address and browser information to deliver the pages and protect the site against abuse. We do not use analytics tools or third-party advertising pixels, and we do not record advertising click identifiers.

Why we use it, and our lawful basis

• To work out and show your calculator estimate, based on our legitimate interest in providing the free estimate you ask for.
• To handle your quote request, including looking for an MCS-certified installer for your home, sharing your request with the installer we match you with and emailing you about it. The lawful basis is your consent (UK GDPR Article 6(1)(a)), which you give by ticking the box when you send the request. You can withdraw it at any time by emailing info@solarreport.co.uk: we then stop looking for an installer for you and don't share your request with one. Withdrawing doesn't affect a request we have already shared, and it doesn't take away a calculator report you have already opened.
• To keep a record of your request and of what you agreed to, based on our legitimate interest in being able to show what you asked us to do.
• To see which pages and campaigns bring visitors to the calculator and the quote form, based on our legitimate interest in improving the site.
• To protect the site and prevent abuse, based on our legitimate interest in keeping the service secure.
• To meet our legal obligations and, where necessary, to establish or defend legal claims.

Who receives your data

Installers. When we match you with an MCS-certified installer that works in your area, we share your quote request with that installer so that they can contact you and quote for the work, and we email you to tell you which installer it is. Each installer then uses your data as a separate controller, to respond to your request. We don't work with any installers yet; until we match you, only Kind Services can see your request, in the site's admin system.

Service providers we use:

• Cloudflare, which hosts the site and the database where calculations and quote requests are stored, and protects the site against abuse;
• the European Commission's PVGIS service, to which our server sends only your roof's coordinates, slope and direction, without your name, contact details or IP address, to estimate how much sunshine the roof gets;
• our email forwarding and mailbox providers, which deliver and store the messages you send to info@solarreport.co.uk and the emails we send you about your request.

Google. The address search, map and roof images in the calculator come from Google Maps Platform. Your browser sends Google the address you type, the location of your roof and your IP address, and our server sends Google your roof's coordinates for the roof analysis. Google uses this data as a separate controller, under its own privacy policy.

We do not sell your data and we do not pass it to anyone for their advertising.

Transfers outside the UK

Kind Services is based in the United States, so your data is handled by a company outside the UK. Cloudflare and Google may also process data in the United States. For those two companies, we rely on the UK Extension to the EU-US Data Privacy Framework, which both have joined. PVGIS is run by the European Commission's Joint Research Centre in the European Union. Messages to info@solarreport.co.uk are forwarded by ImprovMX to the mailbox of Kind Services; where these email providers process data, and the safeguard we rely on, is to follow.

How long we keep it

• Saved calculations (answers, address, roof coordinates and results): the link to your results page stops working after 7 days, but for now we keep saved calculations on our servers with no end date. We have not yet set a fixed retention period. We will set one and update this notice. You can ask us to delete your calculation at any time (see "Your rights"); send us your results link or the address you used so we can find it.
• Quote requests, with the record of what you agreed to: for now we keep them with no end date, as we have not yet set a fixed retention period. We will set one and update this notice. You can ask us to delete your request at any time; tell us the email address you used. An installer we have shared it with keeps its own copy under its own privacy notice.
• Emails you send us: for as long as we need them to answer you.
• Technical security data: only for the short time needed to protect the service.

Your rights

You can ask to see the data we hold about you, to have it corrected or deleted, to restrict how we use it and to receive a copy in a portable format. You can object to any use based on our legitimate interests. You can withdraw your consent to your quote request at any time by emailing us. This doesn't affect what we did with it before you withdrew. If we have already shared your request with an installer, tell them too.

To use any of these rights, email info@solarreport.co.uk. We reply within one month. We may extend this by up to two months for complex or numerous requests; if we do, we will tell you why within the first month.

If you are unhappy with how we have handled your data, you can complain to us by email or by post to the address above; we acknowledge complaints within 30 days. You can also complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113. The ICO recommends raising your concern with us first.

Cookies and storage on your device

We store only what the site needs to work, plus two small items that we store only if you accept them on our cookie banner: a flag that stops the calculator pop-up appearing again, and a note of which quote button you used:

• a cookie called `zonne_tracking_consent`, which records your choice on our cookie banner, for 6 months;
• your calculator answers (including the address) and the system you chose, in your browser's session storage, until you close the tab;
• if you choose "Accept all" on our banner and the calculator pop-up appears when you move to leave a page, a flag in session storage so it does not appear again in that visit. If you choose "Necessary only", we don't store this flag;
• if you choose "Accept all" and then use a quote button on one of our pages, a cookie called `traffic_source` that records which page or button it was, for 90 days. If you choose "Necessary only", we don't set it.

We do not use analytics or advertising cookies, and we do not currently use your browser's local storage.

Google Maps Platform may use its own cookies or identifiers under Google's privacy policy. Details are in our cookie policy.

If we change how we handle data, we update this page and the date at the top.
